Common problems with KSeF, the JPK, PIT and ZUS

What Norman's most common messages mean: a refused KSeF token, an invoice marked Failed, a JPK file on hold, MF response codes, a missing PIT advance or ZUS calculation, and what to do in each case.

Updated

KSeF token

"KSeF refused this token": the token is invalid, revoked or was generated for another NIP. Generate a new token in Aplikacja Podatnika KSeF for the company's NIP and paste it under Account → Taxes, section KSeF e-invoices.

"This token lacks permissions Norman needs": when generating the token, tick "wystawianie faktur" and "przeglądanie faktur".

"KSeF could not be reached to check this token": KSeF did not answer. Norman saved the token and checks it again itself. You can also click Check again.

See The KSeF token.

An invoice marked Failed

Hover over the status to see the reason. Most often:

  • a VAT rate KSeF does not know (the Polish rates are 23, 8, 5 and 0%),
  • 0% for a consumer in another EU country: charge Polish VAT,
  • no legal basis for an exemption: see VAT on the invoice,
  • an intra-Community supply of goods without the buyer's EU VAT number: add the number to the client.

Fix the invoice and click Retry KSeF submission. If KSeF asked Norman to wait, Norman sends the invoice again itself: do not retry. Details in Sending invoices to KSeF.

"KSeF has not accepted this invoice yet. Correct it once KSeF has accepted it.": you can issue a correction once KSeF has accepted the invoice. See Correcting invoices (KOR).

The JPK file is not generated

Above the buttons on the report page, Norman lists what is missing. Most often:

  • NIP, company email, or a JDG owner's name or PESEL: fill them in, see Company details.
  • "Choose the company's tax office (urząd skarbowy) in its settings" or "Confirm the company's tax office (urząd skarbowy) in its settings": choose or confirm the tax office.
  • Excess VAT from the previous return (P_39): Norman cannot work it out, usually in your first month in Norman. Enter the amount on the report page, or 0.
  • Invoices that did not reach KSeF: send them to KSeF, or record them as issued outside KSeF if the law allowed it. See Invoices that did not reach KSeF.
  • Reverse-charge purchases or imports missing data: add the customs document, the kind of purchase (goods or services) or the supplier's EU VAT number. See Purchase documents and input VAT.
  • VAT-exempt sales (art. 43): set the deducted VAT on the purchase documents and confirm it on the report.
  • No NBP rate: NBP has not published the rate for an invoice in another currency yet. Try again later.

"The company is exempt from VAT, so it files no JPK_V7.": if you are an active VAT payer, change your status: see Tax settings.

"File the JPK_V7K records for ... first": when filing quarterly, file the first two months of the quarter first.

Filing the JPK from Norman

  • "Sending the JPK from Norman needs an active subscription.": choose a paid plan, or download the file and file it yourself in Klient JPK_WEB.
  • "Confirm your email address to send the JPK from Norman.": click the link in the confirmation email.
  • "Sending from Norman is unavailable right now. Download the file and file it yourself.": the file cannot be prepared for sending at the moment. Try later or file it yourself.
  • "A JPK_V7 for this period is already on its way to the tax office.": wait for the result; you can close the page.
  • "Submission outcome needs checking": do not send the file again. Click Check status.
  • "MF did not receive the whole file. Send it again.": send the file once more.

When MF refuses the file, Norman shows MF's code and a hint:

MF codeWhat to check
300, 407, 411The earlier submission needs reconciliation. Do not send another copy: contact support.
403, 405, 406, 423, 427, 430The certificate's validity and the file's signature.
417, 418, 419, 422, 424, 426The person's details and the authorization revenue: enter the revenue exactly as on the return for the year before last.
420The authority to file for this taxpayer, for example a power of attorney.
otherThe report data and the file: the document was not accepted.

See The JPK_V7: how Norman prepares and files it.

The PIT advance or ZUS is not calculated

  • "Your books in Norman start on ...": enter the year-to-date totals for the months before your first month in Norman under Account → Taxes. See Getting started: a JDG in Norman.
  • A revenue category without a ryczałt rate: set the category's rate in the revenue register. See The KPiR, the revenue register and exchange differences.
  • An issued invoice not recorded in the tax book: confirm the issued invoice in the KPiR or revenue register. Review a changed invoice again.
  • No tax form, or no VAT settings for the year: complete your Tax settings.
  • "Add the day your ZUS scheme started in the tax settings": enter the date from ZUS. See ZUS contributions and the DRA file.
  • The new year's values have not been published yet: Norman calculates the month once they are published and added.
  • "Waiting for the NBP rate": a transaction in another currency is waiting for the NBP rate. Norman converts it itself.

Company details

  • Postal code: a Polish postal code has the format XX-XXX, for example 00-842.
  • PESEL: it needs 11 digits, a valid check digit and a date of birth. Only the company owner can change it.
  • The KRS number has 10 digits including the leading zeros, the REGON 9 or 14 digits, and the share capital of an sp. z o.o. is at least PLN 5,000.
  • "A JDG and an sp. z o.o. are different taxpayers.": a company with books cannot change from one form to the other. Add a new legal entity: see Company details.
  • Norman does not support the spółka jawna or the spółka komandytowa.

If a message matches none of these, contact support and include the message text.
