Bill Payment: pay supplier invoices with Norman

Prepare supplier payments, check bank details and authorize transfers from Norman on the web or your phone.

Bill Payment lets you prepare a supplier's invoice in Norman and authorize the transfer through your bank. You can capture the invoice, review its payment details and follow its status in the same workspace. You approve the transfer in the bank's own flow.

The workflow: Add a bill → check the details → select your bank account → authorize → check the result.

Where to find Bill Payment

In the web app, open Payments. This is where you manage incoming supplier invoices. The adjacent Vendors tab helps you keep supplier details available for future bills.

On your phone, open Invoices → Payments. You can add a payment manually or use a scan to fill in its details. This entry point is available for German companies; partner versions and available app features may differ.

Invoices you send to customers have a separate workflow. Use the mobile invoicing guide to create a sales invoice or collect a customer's payment.

What you need before paying

  • An unpaid supplier invoice: check the supplier, amount, currency, reference and due date against the original document.
  • The recipient's IBAN: use the bank details supplied by the recipient.
  • The recipient's BIC when requested: some banks require it. Norman shows a message and a field to complete when the selected bank needs one. Use the recipient's BIC, rather than the BIC of the account you are paying from.
  • A bank account that supports payments through Norman: being connected for transaction synchronization alone does not guarantee that an account can initiate transfers. The payment form lists eligible accounts.
  • Available Bill Payment usage in your plan: if you reach a limit, Norman shows the plan or upgrade options. Check the allowance shown in your account before proceeding.

If your account is missing or disconnected, start with bank connections and imports or bank synchronization troubleshooting.

What Norman prepares, and what you confirm

Uploading or scanning an invoice can fill in the supplier, amount and bank details. Review every extracted field before saving. Saving a bill prepares a record; the payment still requires a separate action and bank authorization.

When paying, choose the account, check the payment reference and optionally enter an execution date. The invoice due date tells you when payment is due. The execution date requests when the bank should process the transfer, subject to what that bank supports. Leave it empty if you do not want to request a later date.

Bill Payment sends a EUR transfer. For a bill entered in another currency on the web, Norman converts the amount to EUR using an available ECB reference rate. Check the actual EUR amount in the bank's confirmation and agree with your supplier that a EUR payment is appropriate. Do not assume the original invoice currency will be sent.

Understand the status

Scheduled or Payment in progressA payment has been started. Bank authorization or its result may still be pending. Check that attempt before starting another.
Paid or Payment confirmedNorman has received a successful result from the bank payment flow. Check actual execution in your bank, particularly for a future execution date.
Payment failed or cancelledThe attempt did not complete successfully. Check the reason and the bank's records before trying again.

The bill and the payment attempt have different statuses. A failed attempt can leave the bill available to pay again. Conversely, a bill marked Scheduled does not, by itself, prove that the recipient has received the money.

After the transfer

Return to Norman to check the result. When the bank transaction is available in Accounting, review its amount, reference and matching document.
