Create and send an invoice from your phone
Create an invoice or quote, review the PDF, send it and keep payment status accurate.
Updated
Use Invoices to prepare a customer invoice after a job, send a quote or check who has paid. Invoices is separate from supplier bills and receipts. Partner-managed versions may not offer this tab.
1. Create a draft
- Open Invoices and tap +.
- Choose Create invoice. Choose a quote instead if you are preparing an estimate.
- Select or add the customer and check their details.
- Enter the items, quantities, prices and applicable VAT treatment.
- Review invoice dates, payment terms and your own business and bank details.
- Save and open the result.
Use the invoice's preview to check what the customer will receive. A saved draft is not a sent invoice. Check mandatory invoice details if information is missing.
You can also ask Norman to help prepare an invoice in chat. Review the resulting invoice, not only the assistant's reply.
2. Send it to the customer
- Open the saved invoice.
- Choose Send invoice or the email action.
- Check the recipient address, subject, message and any additional recipients.
- Confirm sending and wait for the result.
Sending can require an eligible plan or remaining allowance. If Norman opens the subscription screen, review the terms before buying. Do not repeatedly tap Send while the result is pending.
The PDF export action opens the device's available sharing options. Sharing a PDF outside Norman is a separate action from sending it through Norman; check status rather than assuming they are identical.
3. Track payment accurately
Open the invoice to review its payment status. Mark it as paid only after checking that payment was actually received. Changing a status does not initiate a bank transfer.
Where Online payments is available, connect the required payment provider and enable payment for the invoice before sharing its payment link. Check the link and the recipient invoice. A link alone is not evidence of payment.
Quotes, recurring invoices and bills
- A saved quote can be converted into an invoice through its available action.
- Recurring opens recurring invoice schedules. Check the frequency, next occurrence and sending settings before enabling a schedule.
- Payments opens supplier bills, not invoices you issue to customers. Review a bill's recipient, IBAN, amount and bank authorization before any payment.
For cancellation invoices and corrections, use the invoice status and corrections guide; do not delete issued records just to change their history.
If email sending times out, check the invoice and ask support before sending the same invoice again.
