Pay a bill on the web or your phone

Follow a supplier invoice from upload to bank authorization, and resolve missing BIC or an unfinished payment.

Start with the supplier's original invoice and access to the bank account you want to pay from. This guide takes you through one bill, from checking its details to confirming the bank result. For supported accounts, currency handling and plan requirements, read the Bill Payment overview.

1. Add and check the bill

In the web app

  1. Select the correct company and open Payments.
  2. Choose Add bill. Upload a document to fill in the fields, or enter the details manually. You can also select an existing bill from the list.
  3. Compare the supplier name, amount, currency, IBAN, reference and dates with the original invoice. Check the BIC if one is provided.
  4. Choose Save bill, then open the bill to review it alongside the payment form. Use the details section to correct an editable bill before starting payment.

For example, a €240 supplier invoice with reference INV-2026-104 should retain both the €240 amount and that reference through the payment flow. The recipient bank details must come from the supplier, not from an example or an unrelated saved vendor.

On your phone

  1. Select the correct company and open Invoices → Payments.
  2. Tap + to add a payment, or open an existing one.
  3. Use the scan option to take a photo, select an image or choose a document. You can also enter the details manually.
  4. Review the supplier, amount, IBAN, BIC, reference and due date, then save. The mobile creation form uses EUR; prepare a bill in another currency in the web app and review its EUR payment amount before authorizing.

Check the captured details even when the scan looks clear. Saving the bill does not send the payment. General receipt capture and bank matching are explained in the mobile receipt guide.

2. Choose how to pay

On the web, use the payment form in the bill's panel. On mobile, tap Pay [amount] to open Make payment.

  1. Select the bank account you want to pay from. If there is only one eligible account, it may already be selected; still check it.
  2. Review Payment purpose on the web or Purpose on mobile. Keep the invoice number or reference requested by your supplier so they can identify the payment.
  3. Complete Recipient BIC if you have it or Norman asks for it. This is the BIC of the recipient's bank. A message saying it is required applies to the selected paying bank; it does not mean every payment always needs one.
  4. Leave Execution date empty for payment without a requested future date, or choose an appropriate date today or later. On mobile, enter it as YYYY-MM-DD. Review any future date in the bank's confirmation as well.

The web form offers a suggested date based on the bill's due date, or today if the bill is already overdue. It is a suggestion you choose, not an automatic instruction to wait until the due date. Actual execution depends on the bank.

No eligible account? Use the bank connection option and complete the bank's connection flow. An account used only for syncing transactions may not support payments. If the connection expired, reconnect it before trying again.

3. Authorize with your bank

  1. On the web, choose Pay now. On mobile, choose Continue to your bank.
  2. Complete the bank flow that opens. On the web this uses another browser window or tab; on mobile it opens in the browser and may switch to your banking app.
  3. Check the paying account, recipient, amount, currency, reference and execution date shown by the bank.
  4. Approve through the bank's required confirmation method only when those details are correct.
  5. Return to Norman and check the result.

If a bank screen shows different details from the invoice, stop before approval and resolve the difference. Closing the browser after approving does not undo the instruction you have already given to your bank.

4. Check the result and the bank transaction

On the web, use Refresh status while the payment screen is waiting for the result. On mobile, return to Norman so the app can check the pending payment. Refresh the list or reopen the bill if necessary.

Scheduled can mean the payment is waiting for bank authorization or its result, even when you did not select a future date. Payment confirmed means the bank flow reported success. For a future-dated transfer, check the scheduled instruction and later execution in your bank.

When the bank transaction appears in Accounting, compare its amount and reference with the bill and review the document match. A successful authorization and a synchronized bank transaction are separate checkpoints. Do not create another expense solely because the bank transaction has not arrived yet.

Common problems

If your bank shows an accepted or executed transfer but Norman still shows an error, contact support before paying again. Include the company, bill reference, approximate attempt time, bank name and exact error or screenshot. Never include a password, PIN or TAN. A bank-side result is more useful for resolving the issue than creating another copy of the bill.
