Start for freeAnything business-related is deductible (§ 4 (4) EStG): equipment, software, office, travel, training, insurance, and advisory costs. Privately motivated spending stays out, and mixed-use items are claimed in proportion to business use.
Business expenses (Betriebsausgaben) reduce your profit directly and appear in your EÜR. Special expenses (Sonderausgaben) such as private health insurance or pension contributions reduce your taxable income afterwards and do not belong in the EÜR.
You normally do not submit them: the EÜR is filed without attachments. You do have to keep them and produce them if the tax office asks or audits you. Since 2025 the retention period for accounting receipts is eight years.
A business expense reduces your profit, not your tax bill directly. At a marginal rate of 30 %, spending 100 € saves around 30 € in tax. If you are VAT-registered, the input VAT deduction comes on top.
