Clients an accounting office adds and the office's billing

How an accounting office adds a client's company itself and keeps its books right away, how the owner takes the company over later, and how the office pays for the plan of the clients it added.

Updated

An accounting office does not have to wait for a client to invite it to Norman. An owner or a manager of the office adds the client's company and keeps its books right away. The company's owner takes it over later, from an invitation the office sends.

The office pays for the clients it added. Roles in the office and what staff can open are in Accounting office team and client deadlines.

Add a client

  1. On Your clients, click Add a client.
  2. Under Country, keep Poland.
  3. Under Legal form, choose JDG or Sp. z o.o..
  4. Under Company name, enter the name. For a JDG, also enter the Owner's first name and Owner's last name: they go on every invoice and return.
  5. Enter the NIP and the address if you know them.
  6. Under Books in Norman from, choose the first month the office keeps in Norman. It is this month by default.
  7. Click Add the client.

Earlier months stay with whoever kept them. Their totals go in later, in the client's tax settings: see Getting started: a JDG in Norman or Getting started: an sp. z o.o. in Norman.

The client is in your list straight away, and the person who added it becomes its lead. The office has full access to it, because nobody else can grant any yet. Staff open the parts the office allows them. The client card says The owner has not joined yet.

Until the office invites the owner, Norman sends them nothing.

Invite the owner

An owner or a manager of the office, or the client's lead, sends the invitation.

  1. Under the client card, click Invite the owner.
  2. Under Owner's email, enter the address the owner runs the company with. An accounting office's address does not work.
  3. Click Send invitation.

The owner gets an email with a link that is valid for 14 days. Under the client card you see whom you invited and until when the link is valid. Send again sends a new link, and the earlier one stops working. Cancel withdraws the invitation.

Take over the company

The company's owner does these steps.

  1. Open the email from the office and click the button. An office in Poland sends the email in Polish, so the button reads Przejmij firmę.
  2. Check the company's name, the office's name and your email address.
  3. Click Take over the company. If you do not want to, click Decline: the office keeps the company's books as before.

If you already have a Norman account under that address, the company joins that account. If not, Norman makes an account for you. Norman signs you in straight away and opens the company. You are its owner and see the books, invoices and taxes the office keeps.

The office keeps its access after the takeover. You change or revoke it under Account → Team, as for any accountant: see Team members and access for your accountant.

If the link has expired or was already used, ask the office for a new invitation. If your account already has as many companies as it can hold, or it is closed, ask the office to invite another address.

The office's billing

The office pays for the clients it added itself: each month, the price of the JDG Pro plan per client. You find the current prices on the pricing page.

  • The clients the office pays for get the full plan of their legal form, JPK_V7 filing included: JDG Pro for a JDG, Sp. z o.o. Max for an sp. z o.o.
  • A client's own paid plan always comes first. When the client buys a plan, the office stops paying for it.
  • Clients who invited the office themselves keep paying for their own plan.
  • After the owner takes the company over, the office keeps paying until the owner buys their own plan or revokes the office's access.

Office billing is for accounting offices in Poland and covers Polish clients.

Set up the office's billing

The office's owner sets up billing. Everyone else in the office only sees where it stands.

  1. On Your clients, click Team in the header.
  2. Under Billing, click Set up billing.
  3. Under Your office's legal form, choose JDG or Sp. z o.o..
  4. Check the name, the NIP and the address. Norman fills them in from the office's details, and they go on the invoices Norman sends your office.
  5. Click Continue to payment and pay by card.

After paying you come back to the Team page. Under Billing you see how many clients you pay for and how much a month. The number of clients follows on its own: when you add a client, and when a client buys their own plan or revokes the office's access. You pay for at least one client.

Until you set up billing, the clients you added have no full plan and no trial.

Manage billing opens the payment settings: change the card, see the invoices or cancel. If a payment fails, your clients keep their plan and Norman asks you to update the card. While billing is off, your clients have no full plan. Turn billing back on with Set up billing again.

In the Mac app you see where billing stands, but you set it up and change it in the browser version.

What the client sees

Under Account → Subscription, a client the office pays for sees below the plan that the office pays for it, for example Your plan is paid by Biuro Alfa. When the client buys their own plan, that plan replaces the one the office pays for.
