Accounting office team and client deadlines
How an accounting office invites its people to Norman, gives them roles and access, assigns them clients and sees on one card what its clients have to file.
Updated
An accounting office works in Norman as one team. Each person logs in with their own account, and the office decides who handles which client and what they can open there.
Every accountant in Norman has an office. If you work alone, you are its owner and can invite colleagues at any time.
Roles in the office
- The Owner runs the office: its details, its team and every client. Only an owner can make someone an owner or change or remove another owner. The office always has at least one owner.
- A Manager invites and removes staff and managers, assigns clients and sees every client.
- Staff work on the clients assigned to them and open only the parts you allow.
Owners and managers see every client and everything in it. The office details (name, NIP and address) are changed by an owner or a manager. An owner or a manager also adds clients, and only an owner sets up the office's billing.
Invite a person to the team
- On Your clients, click Team in the header.
- Under People, click Invite a person.
- Enter the email address and, under Role, choose Owner, Manager or Staff.
- For staff, decide whether they get Sees all clients. With it off, they see only the clients you assign to them.
- Under What they can open, tick the parts the person may open at your clients.
- Click Send invitation.
The invited person gets an email with a link that is valid for 7 days. Until then the invitation waits under Waiting to join. Withdraw it with Cancel invitation.
A person can work in only one office in Norman. If someone already runs their own company in Norman under that address, Norman asks for a different email address, because joining the office would switch that account to the accountant's view.
To change someone's access, click Change next to them, adjust the role or the parts and click Save. Remove takes away the person's access to all of the office's clients.
What staff can open
| Part | What it covers | New staff member |
|---|---|---|
| Bookkeeping | bank transactions, bookings and the books | open |
| Invoices | sales and purchase invoices, KSeF included | open |
| Documents and messages | receipts, files, messages and requests to the client | open |
| Preparing taxes | JPK, PIT, CIT, ZUS and other returns to check | open |
| Filing taxes | sending and signing returns for the client, and marking them as filed | closed |
| Payroll | salaries and payslips | closed |
| Client settings | changing the client's settings and the access it gave the office | closed |
A staff member cannot open a closed part at any client. Owners and managers have every part open. When someone opens a closed part, Norman says which part it is and whom to ask: staff are sent to the office's owner or a manager, owners and managers to the client.
What the client grants
The client invites their own accountant: see Team members and access for your accountant. When they invite someone from your office, they become a client of the whole office. The owners, the managers and the staff with Sees all clients see them, and the first person from the office the client invited becomes their lead.
The office cannot give anyone more than the client granted. What the client did not grant, nobody at the office can open, owners included. When the client revokes access, the whole office loses it.
The office can also add a client's company itself and keep its books before the owner joins: see Clients an accounting office adds and the office's billing.
Who handles a client
When the office has more than one person, each client card shows a Handled by line with the people who handle the client. The lead, the client's main contact, is marked lead. An owner or a manager changes it:
- Under the client card, click Change.
- In the Who handles it column, tick the people.
- In the Lead column, choose one of them.
- Click Save.
A staff member without Sees all clients sees only the clients assigned to them. When you untick them, they lose access to that client.
My clients
If you see every client of the office and the office has more than one person, a My clients and All clients switch sits above the client list. My clients shows only the clients you handle, as their lead or not. It narrows the What's due card as well.
Join an office from an invitation
- Open the invitation email and click the button. An office in Poland sends the email in Polish, so the button reads Dołącz do biura.
- Check the office's name, your role and your email address.
- Click Join the firm. If you do not want to join, click Decline.
Norman signs you in straight away and shows the clients you can work on. You need no password for later logins: on the login page Norman emails you a link. If the invitation has expired, ask the office for a new one.
What's due
On Your clients, the What's due card shows what your clients have to file:
- open returns, for example the JPK_V7, PIT and CIT advances, the DRA and the annual returns,
- payroll lists to approve, if the client runs payroll in Norman.
- Choose the period: 14 days or 30 days.
- Go through the list. Overdue items (up to 60 days back) come first, then the rest by date.
- Click a row. Norman opens that client at the return in Taxes, or on the Payroll page for a payroll list.
Each row shows the deadline date, what is due and for which period, the client, and how many days are left or have passed since the deadline. The card shows the first 6 items; open the rest with Show all.
You see returns only for the clients where Preparing taxes is open to you, and payroll lists only where Payroll is open to you.
Ask the chat with Norman
Open any client and ask in the chat with Norman, for example "What is due this week?" or "Which clients are overdue?". The answer covers all of your clients and follows the rules of the What's due card: overdue items first, then this week and next week, one line per client with a hint on what to do next. The chat can also look further ahead, up to 90 days.
For this question the chat sends and signs nothing. It suggests the next step, and the decision is yours.
The chat also answers who handles a client and what a colleague can open, for example "Who handles Alfa?". Changes are made by an owner or a manager on the Team page.
