Multi Company: manage multiple businesses in Norman
Add a company, switch between businesses and archive an entity while keeping each company's records separate.
Updated
Multi Company lets you manage several businesses with one Norman login. For example, you can keep your freelance business and your GmbH in the same account, with separate records for each.
This guide covers the Norman web app. The company name at the top of the sidebar tells you which business you are working in.
Before you add a company
- Adding a company is free, including a UG or GmbH. You can complete its setup without buying a subscription.
- Each company has its own subscription. Paying for one company does not unlock paid features in another.
- There is a limit on the number of active companies you can own. Companies you join as a member do not use your own company slots.
- Additional companies are not available for accounts managed through a partner integration.
Use the legal form that matches the business. See which legal forms Norman supports if you are unsure which option to choose.
1. Add another company
- Click the company name at the top of the sidebar to open Switch company.
- Select Add legal entity.
- Follow the setup questions for the new business. Depending on its legal form, these include its country, name, business start date and VAT settings.
- Complete the setup. Norman selects the new company so you can start working in it.
- Review its company details before creating invoices, importing records or preparing tax reports. For a UG or GmbH, follow the company accounting setup guide.
Adding a business here creates its workspace in Norman. This action alone does not incorporate a company or register a trade with an authority.
Interrupted the setup? Open Add legal entity again. If a partially created company is already saved, Norman resumes its setup instead of creating another one. You may be asked to confirm some answers again.
2. Switch between companies
- Save any changes you are working on.
- Open Switch company by clicking the company name in the sidebar.
- Select the company you want to work in. Norman takes you to its home page.
- Check the name in the sidebar before continuing.
Norman remembers your selection in that browser, including after a page reload. A dot next to another company indicates unread notifications for that company.
What stays separate?
Each company has its own customers, invoices, transactions, documents, accounting setup and tax reports. Switching companies changes the records you see and work with. It does not copy or move records between businesses.
For example, a customer added under your GmbH does not automatically appear in your freelance business. Select the intended company before uploading receipts, importing bank transactions or creating an invoice.
Your login and personal profile belong to your Norman account. Company access follows your membership in each business; access to one company does not automatically give someone access to your other companies.
Multi Company does not combine tax returns or consolidate accounts. Sharing a login does not merge the companies' records into one UStVA, income tax return or financial report. If your activities need a combined filing, clarify the appropriate setup with your tax advisor.
3. Choose a plan for each company
- Switch to the company you want to subscribe.
- Open Account → Subscription and check the company name.
- Choose from the plans available for that company's legal form and country, then complete payment. A UG or GmbH uses the SME plans.
Paid actions and usage limits follow the selected company's plan. A paywall inside a newly added company is expected until you subscribe that company. Your team uses the company's paid access; employees do not each need their own subscription.
To change or cancel a plan, first switch to that company and open Subscription. The change applies to that company's subscription. Other companies keep their own plans. When moving from the previous account billing model, an existing subscription stays with the owner's first created company.
4. Archive a company you no longer use
- Switch to the company you want to archive and check its name.
- Open Account → Settings.
- In Danger zone, select Archive company.
- Check the company name in the confirmation and confirm.
Only the company owner can archive it, and you must still have another active company you can access. The archive option is hidden when these conditions are not met.
The archived company disappears from the switcher and Norman selects another company. Its existing books, invoices and documents are retained, and it no longer uses an active company slot. Archiving does not delete your Norman account or cancel that company's subscription. Manage its subscription before archiving if you no longer need it.
If you need to access or restore an archived company, contact support. There is currently no restore button in the web company switcher.
If something does not work
| What you see | What to do |
|---|---|
| No company switcher or Add legal entity option | Check that you are in the Norman web app. Availability depends on your account; tax advisors use their client dashboard instead. Contact support if the option is missing. |
| A paywall inside a company | Check Account → Subscription for the selected company. A subscription in another company does not cover this one. |
| No suitable plan or an unexpected plan requirement during setup | Check the company name and legal form, then contact support. Adding a company does not require payment. |
| A company limit message | Check your existing companies and any unfinished setup. Archive a company only if you no longer use it, or contact support about your requirements. |
| The company you expect is missing | Check that you signed in to the right account and have access to that company. Archived companies do not appear in the switcher. |
You can reach support through Support in Norman or at support@norman.finance. Include the company name, the step you were on and the error message.
