Unlike sole traders or freelancers, a GmbH cannot use a simple cash-basis income statement – it is fully subject to double-entry bookkeeping and balance sheet accounting.

Size Classes: Which Rules Apply to Your GmbH

Whether your GmbH needs notes, a management report or an audit is determined by the thresholds in §§ 267, 267a HGB. On 17 April 2024 the monetary thresholds (balance sheet total and revenue) were raised by roughly 25% and apply for the first time to financial years beginning after 31 December 2023. Step-by-Step: How to Prepare Annual Accounts

Step 1: Close your books – All transactions for the financial year must be fully recorded: bank transactions, outgoing invoices (revenue), incoming invoices (expenses) and depreciation (AfA) on fixed assets. A clean bank account is half the battle – missing receipts cost the most time at year-end.

Step 2: Take inventory – Count and value the actual stock at the balance sheet date: inventory, open receivables, cash on hand and bank balances. The inventory verifies that the book values match reality.

Step 3: Year-end adjustments – Now come the correcting entries: set up provisions for outstanding invoices, holiday and tax provisions, post accruals and deferrals (RAP/ARAP) and apply scheduled depreciation to fixed assets.

Step 4: Prepare balance sheet and GuV – The balance sheet flows directly from your completed bookkeeping. The GuV shows the operating result for the year. Together with the notes they form the formal annual accounts.
