A GmbH needs more than a simple invoicing tool. Because of the bookkeeping obligation under § 238 HGB, you must use double-entry bookkeeping, prepare a balance sheet, and submit an E-Bilanz to the tax office at year-end. Many tools built for freelancers stop at the simple EÜR, which rules them out for a GmbH entirely. Here are 7 accounting tools that genuinely cover GmbHs and UGs, with real 2026 prices and an honest answer about where you still need a tax advisor.

Quick answer: which software fits which GmbH?

  • Maximum automation, file taxes yourself: Norman. Bookkeeping free, tax returns from €39/month.
  • Processing lots of receipts automatically: Norman. Upload receipts or forward them by email, and the AI captures, categorises, and posts them, even at high volume.
  • Classic route with a tax advisor: DATEV at the advisor, plus Lexware Office for daily work.
  • Broad ERP features beyond bookkeeping: Collmex.
  • Rule of thumb: Pure EÜR tools are out. Your GmbH needs double-entry bookkeeping with the SKR-03 or SKR-04 chart of accounts and a real balance sheet.

What makes GmbH bookkeeping different from the EÜR

A GmbH is always required to keep commercial books, regardless of revenue or profit. In practice that means:

  • Double-entry bookkeeping instead of the simple EÜR (§ 238 HGB)
  • Annual accounts with a balance sheet plus a profit-and-loss statement (§ 242 HGB)
  • E-Bilanz, the electronic balance sheet filed with the tax office (§ 5b EStG)
  • Disclosure in the Federal Gazette / Bundesanzeiger (§ 325 HGB)
  • Three tax returns instead of one: corporate income tax (15% plus 5.5% solidarity surcharge), trade tax (usually 14–17% depending on the municipal rate), and VAT

This is exactly where the field narrows: pure EÜR tools are out, because they cannot produce a balance sheet. You need software with real double-entry bookkeeping and the SKR-03 or SKR-04 chart of accounts. More on the obligations in our bookkeeping obligations and double-entry guide.

If you want to run daily bookkeeping in-house without paying an advisor for every entry, AI bookkeeping for GmbH and UG is the fastest way in: the bank connection categorises transactions automatically and prepares your taxes directly.

What matters in GmbH software

Six criteria decide whether a tool works for your GmbH:

  • Double-entry bookkeeping & balance sheet. Can it produce a real balance sheet and P&L, not just an EÜR?
  • E-Bilanz & tax scope. Are the E-Bilanz, corporate tax, trade tax, and VAT returns supported directly or submitted via ELSTER?
  • Chart of accounts. SKR 03 or SKR 04 with correct posting?
  • Automation. Are bank transactions auto-categorised and receipts auto-matched?
  • Advisor export. Is there a clean DATEV export in case your advisor prepares the accounts?
  • GoBD compliance. Mandatory for every GmbH. Details in our GoBD bookkeeping guide.

The 7 tools compared

1. Norman is AI-native bookkeeping built explicitly for GmbHs, UGs, and the self-employed. Double-entry bookkeeping with SKR-03/04, automatic categorisation via bank connection, built-in e-invoicing, and direct submission of VAT, corporate, and trade tax through ELSTER. Invoicing and daily bookkeeping are free, tax returns from €39/month. You just upload receipts or forward them by email, and the AI captures and posts them automatically, even at high volume. Available in German, English, and further languages. Many GmbH founders run the books themselves and only bring in an advisor for the annual accounts.

2. DATEV (Unternehmen online) is the standard in tax-advisor practices, and the safest choice if your advisor prepares the annual accounts. Full balance sheet, E-Bilanz, and year-end functions. Downside: no real self-service, complex licensing, and total cost is tied to the advisor (often €150–500/month). See our DATEV alternative for GmbH.

3. Lexware Office (formerly Lexoffice) offers double-entry bookkeeping only from the L tier, regular price from ~€22/month (package L, net). Large integration ecosystem and an optional payroll module. For the balance sheet and annual accounts, most GmbHs still rely on DATEV export and an advisor. Comparison in our Lexoffice alternatives guide.

4. sevDesk offers double-entry bookkeeping from the "Buchhaltung" tier, from €25.90/month (net, on the monthly plan), with modern bank reconciliation and DATEV export. Solid for daily bookkeeping; the balance sheet and E-Bilanz usually run through the advisor in practice.

5. BuchhaltungsButler specialises in double-entry bookkeeping and receipt automation, ~€25–60/month depending on document volume. The E-Bilanz can be filed directly with the tax office through the eBilanz+ add-on. Strong for advisor collaboration, but not a full self-service tax package.

6. Collmex is an ERP-style solution with real balance-sheet accounting and double-entry, from €16.95/month (up to ~€47 on the tested tier). Strong if you need inventory and order management beyond plain bookkeeping, but a conservative, technical interface.

7. FreeFinance offers double-entry bookkeeping and balance sheets in the German version too, ~€20–40/month. Solid for smaller GmbHs, less common in the German advisor ecosystem.

Do it yourself or use a tax advisor?

The biggest cost question for a GmbH is not the software, it is the tax advisor. An advisor who handles the full bookkeeping plus annual accounts quickly runs a small GmbH into several thousand euros a year. Three routes are common:

RouteDaily bookkeepingAnnual accounts & taxesCost/year (small GmbH)
Everything at the advisorAdvisorAdvisor~€3,000–6,000
Software + advisor for year-endSoftware (€0–360)Advisor~€1,500–3,500
Mostly yourself with NormanSoftware (free)Partly yourself, advisor for review~€150–1,000

The more you take on yourself, the bigger the lever. Where exactly the line between doing it yourself and using an advisor makes sense is shown in our tax advisor vs. software comparison.

Can I submit the E-Bilanz myself?

Yes. As a GmbH managing director you may prepare your balance sheet internally and submit the E-Bilanz, corporate, and trade tax return with your GmbH's own ELSTER organisation certificate. There is no legal obligation to hire a tax advisor for this: the restrictions of the German tax advice law (Steuerberatungsgesetz) apply only to paid third-party advice, not to you as the director of your own GmbH.

In practice, many founders have the first annual accounts reviewed by an advisor and then take on more themselves. Software with a direct ELSTER connection removes the form-filling and sanity-checks the figures before you file. More in our GmbH tax return guide.

Which tool fits your GmbH?

  • Maximum automation, file taxes yourself: Norman.
  • Processing high document volume automatically: Norman, because receipts are captured by AI and daily bookkeeping is free.
  • Classic route with advisor-prepared annual accounts: DATEV at the advisor, plus Lexware Office for daily work.
  • Broad ERP features (inventory, orders): Collmex.
  • International team: Norman is available in German, English, and further languages.

Four typical GmbH profiles and the software that fits each.

Doing more yourself early on saves a lot: an advisor for a small GmbH quickly runs to several thousand euros a year. Our tax advisor vs. software comparison shows how that stacks up.

Bottom line

For a GmbH the choice is narrower than for the self-employed: the tool has to do double-entry bookkeeping, produce a balance sheet, and ideally support the E-Bilanz plus corporate, trade, and VAT returns. If you take the classic route with an advisor, DATEV plus Lexware Office works well. If you want control, automation, and low running costs, an AI-native solution gets you there fastest: with free bookkeeping and full tax scope for GmbH and UG from €39/month, Norman fits exactly that profile.

FAQ

Is an EÜR tool enough for my GmbH? No. A GmbH must keep double-entry books under § 238 HGB and prepare a balance sheet. Pure EÜR programs do not meet that requirement.

Do I absolutely need DATEV for a GmbH? No. DATEV is the practice standard, but modern tools with double-entry bookkeeping and DATEV export or direct ELSTER submission are a full alternative.

What is the difference between SKR 03 and SKR 04? SKR 03 is process-oriented (organised by cash flow), SKR 04 is close-oriented (organised by balance-sheet structure). Both are valid for GmbHs; SKR 04 is widespread among corporations because it follows the balance-sheet layout under § 266 HGB. What matters is that your software supports the chosen framework cleanly.

Can software submit the E-Bilanz? Yes, some tools prepare the E-Bilanz and submit it via ELSTER. For audited annual accounts, many GmbHs still work with an advisor in the first year.

Can I file my GmbH taxes myself with Norman? Yes. Norman prepares the VAT, corporate, and trade tax returns and submits them directly via ELSTER. For the first annual accounts, many founders additionally bring in a tax advisor for review.

What does GmbH accounting software cost? GmbH-capable solutions usually run €15–60/month. Norman starts free for bookkeeping and invoicing, with tax returns from €39/month. Details on the pricing page.

Do I have to publish the annual accounts? Yes, GmbHs must disclose them in the Bundesanzeiger under § 325 HGB. More in our GmbH tax return guide.

Run your GmbH books yourself, file taxes from €39/month

Norman keeps double-entry books on SKR-03/04, categorises bank transactions with AI, and prepares your VAT, corporate, and trade tax for ELSTER. Invoicing and daily bookkeeping are free, so you only pay for the finished filing and bring in an advisor just for the annual accounts.
