Keep your company books current

Record invoices and receipts, review transactions, check VAT and avoid duplicate imports.

Once the opening position is reconciled, use Transactions for day-to-day bookkeeping. The Ledger also contains postings from migration, assets, payroll and closing, so the two screens do not necessarily contain the same number of rows.

Your regular workflow

  1. Open Accounting → Transactions and check the period you are working on.
  2. Import or sync new bank activity only from the first period not already covered by migration. Check bank account mappings for each payment account.
  3. Upload incoming invoices and receipts through Documents, then review the extracted date, supplier, invoice number, amount and tax details.
  4. Create outgoing invoices under Invoices. Follow the invoice fields guide.
  5. Match documents to the existing transaction where appropriate. Do not create another expense or income merely because both a document and a bank payment exist.
  6. Open transaction details and review the account/category, income or expense direction, date, amount, VAT treatment and payment account.
  7. Save your corrections and check the corresponding Ledger entries.

For a transaction not supplied by a bank import, use Add transaction and enter its details manually. Company transactions can also use a Ledger payment account at creation or later in Details. Leave the automatic option when it is correct.

Check suggestions before relying on them

OCR and AI suggestions need review. A recognised VAT rate alone does not prove that the tax amount or tax treatment is correct. Compare the document with the transaction and the relevant tax preview.

A DATEV booking stack already describes double-entry bookkeeping. It belongs in Opening & migration, not in a workflow that interprets every row as a bank payment.

Before you move to year-end

Review unmatched documents, unusual categories, internal transfers, refunds and outstanding items. Confirm whether a purchase belongs in Assets.

For an inactive company, review the actual opening balances, bank charges, assets and liabilities rather than assuming that no sales means empty books.

If a transaction is finalised or its year is locked, do not delete and recreate it to bypass the restriction. Use the available correction process or contact support with the affected entry.
