Map bank accounts to the Ledger

Separate bank, cash, PayPal and card balances with account mappings and individual payment-account overrides.

Updated

Three different settings can be involved in a payment: the connected bank account, the transaction's income/expense category, and its Ledger payment account. Changing one does not automatically mean the others changed.

Give each payment account its own Ledger account

  1. Create or identify the appropriate account in Chart of accounts, using the company's active SKR and correct balance-sheet type.
  2. Open Account settings → Bank accounts.
  3. Select the connected sub-account, not just the institution. One bank can provide several accounts or currencies.
  4. In Details → Ledger account, choose the intended account, or leave Automatic (chart default) if the default is correct.
  5. Check imported postings in Ledger → Accounts (SuSa). Reconcile each account with its own statement and opening balance.

Use distinct accounts where separate bank, card, PayPal or cash balances need to be tracked. Do not invent a code from another SKR: the same number can have a different meaning.

Override a single transaction

  1. Open the transaction's Details.
  2. Find Ledger payment account.
  3. Choose the correct account for this exception and save.
  4. Check the posting and both affected account balances in the Ledger.

The transaction's category still describes the underlying income, expense or other accounting treatment. A payment-account override addresses the payment side.

What an override does not do

It does not move money, reconnect a provider or change the balance reported by the bank connection. It is also not a guarantee that an incorrectly imported source transaction has moved to another provider account.

For an import attached to the wrong bank/card, check both the source connection and the Ledger posting. If they disagree, send support the transaction date, amount, intended account and the affected import.

If a reconnect warning remains

Check whether the reconnected entry is the same sub-account and currency and whether its sync is current. A second account from the same institution is not automatically a replacement for the first one.

Do not remove a working connection to clear a warning. Contact support if the warning persists alongside the successfully reconnected account.

Next: review and reconcile account balances.
