Payment reminders and emails to clients
How to switch on automatic reminders for unpaid invoices, set the steps, the fee and the sentences on statutory interest and recovery compensation, and how to adapt the email templates.
Updated
Norman can remind your clients of unpaid invoices for you. Reminders go out by email, so the client needs an email address in Norman.
Switch on a reminder on the invoice
In the last step of issuing an invoice, tick Remind if unpaid. Norman reminds your client by your rule until the invoice is paid. You can also add a reminder on a specific date.
Automatic payment reminders are part of the paid plans.
Set up the reminder steps
- Open Invoices, click Settings and go to the Emails section.
- Under Payment reminders, tick Remind automatically.
- Switch on the steps you want and set for each how many days before or after the due date it goes out:
- Note before the due date,
- Payment reminder,
- First dunning notice,
- Final notice.
- For the steps after the due date you can enter a Fee.
- Save your changes.
Reminders go out on working days at 9:00 and stop once the invoice is paid or cancelled. If Norman cannot check the payment in your bank account, you get a notice the working day before, with Already paid and Don't send. That is why it helps to connect your bank account or import statements regularly: see Bank connection and CSV import.
With a fee, the email shows the total, and your client pays by bank transfer, not online. Invoices in a currency other than your company's are reminded without the fee.
Statutory interest and recovery compensation
For the steps after the due date you can tick Statutory interest and Recovery compensation. Each ticked item adds one sentence without an amount to that step's email, in Polish and English emails. Only business clients get the compensation sentence.
The basis is the act of 8 March 2013 on counteracting excessive delays in commercial transactions (ustawa o przeciwdziałaniu nadmiernym opóźnieniom w transakcjach handlowych): statutory interest for late payment in commercial transactions (art. 7) and compensation for recovery costs of EUR 40, 70 or 100 depending on the amount owed (art. 10). Norman does not work out these amounts or add them to the reminder: the sentences tell your client about your right.
Email templates
In the Emails section you can also adapt the wording of your emails: invoice, correcting invoice, quote, delivery note and each reminder step.
- Under Templates, choose the kind of email and the Language: Polish, English or German. For a Polish company the default is Polish.
- Choose Own template and write your text. Type # to insert a variable, such as the invoice number.
- To go back to Norman's text, click Restore the default text.
To get a copy of every email to a client, tick Send a copy of every email to my address.
What Norman does not do yet
- It does not work out interest or compensation as amounts.
- It does not send reminders by text message or letter.
- It does not hand cases over to debt collection.
