Clients and products
How to add a client with a NIP or an EU VAT number, fill in company details from the public registers and keep a catalogue of products and services to pick invoice lines from.
Updated
You save clients and products once, then pick them on invoices and quotes.
Add a client
- Open Invoices, tab Clients, or click New client on an invoice.
- Choose the Client type: business or private person.
- Fill in the name, address, country and email. The email address is needed to send invoices and payment reminders.
- For a business, enter the VAT number. Enter a Polish business as PL and the 10-digit NIP, for example PL1234567890. Enter a business from another EU country with its EU VAT number.
- Click Create client.
A new client starts in your company's country. If the VAT number does not match the client's country, Norman says so.
The number and country decide how the invoice goes to KSeF: a Polish buyer with its NIP, an EU business with its EU VAT number, and a consumer without an identifier. An intra-Community supply of goods needs the buyer's EU VAT number. See VAT on the invoice.
Details from the NIP
In the client form, enter the NIP in the NIP lookup field and click Fill in from NIP. Norman fetches the name and address from the public registers (GUS, the VAT payer register and VIES) and shows the company's VAT status: active VAT payer, exempt or not registered. Check the details before saving. The same field is in the vendor form.
Products and services
The catalogue speeds up invoicing: a line from the catalogue comes with its name, price, VAT rate and unit.
- Open Invoices, tab Products, and click Add product.
- Fill in the name, description, type (goods or service), price and VAT rate. Tick Price includes VAT if you enter the gross price.
- Choose the unit, for example piece, hour or day. You can add an article number and a Bookkeeping category.
- Save.
Save a line from an invoice to the catalogue with Save as product. On the invoice, a line picked from the catalogue is marked From catalog.
What Norman does not do yet
- It does not check the format of a Polish NIP on the invoice: enter PL and 10 digits.
- Products have no GTU code: you choose the code on the invoice line.
