What every German invoice needs

Seller and client: full name and address of you and your client. A PO box is not enough.

Tax number or VAT ID: one of the two is enough. For clients in the EU you need the VAT ID.

Invoice date and number: the number is sequential and used only once, for example RE-2026-001.

Service and service period: what you delivered and when, even if it is the invoice date.

Amounts: net amount split by VAT rate, VAT rate, VAT amount and total.

Invoices up to €250 gross: small invoices need only the seller, date, service, gross amount and VAT rate (§ 33 UStDV).

Word, Excel or online?

Word and Excel: easy to adapt, but you keep the invoice number, totals and VAT right yourself.

Online template: does the maths and gives you the e-invoice that business clients will require from 2027 and 2028: as a PDF with ZUGFeRD or as an XRechnung.

Until the end of 2026: you may send paper or PDF invoices if your client agrees. With a previous-year turnover of up to €800,000, this applies until the end of 2027.

FAQ

Is there an official invoice template in Germany?

No. The law sets no layout, only the required fields. This template has all ten fields under § 14 UStG.

Does my tax number have to be on the invoice?

Yes, your tax number or your VAT ID. One of the two is enough. Many freelancers use the VAT ID so the tax number is not on every invoice.

How do I number my invoices?

Sequentially and without duplicates, for example RE-2026-001, RE-2026-002. A prefix with the year is allowed.

Can I still use a Word template in 2026?

Yes. Until the end of 2026, paper and PDF invoices are allowed if your client agrees, and until the end of 2027 with a previous-year turnover of up to €800,000. After that, business clients need an e-invoice.

How long do I have to keep invoices?

8 years, for invoices you send and receive (§ 14b UStG). The period starts at the end of the year the invoice was issued.
