Tax and cash records in a hair salon

A salon is a cash business, and cash businesses get audited differently. How you keep cash records decides whether an inspection passes quietly or ends in an estimate.

What a salon needs day to day

Four things between the chair, the till, and the tax office.

Daily takings captured cleanly

Norman picks up takings from the connected bank account, assigns them, and keeps the records traceable.

Services and retail kept apart

Both run at 19%, but they are not the same commercially. Norman separates services from product sales so cost of goods stays visible.

Trade tax in view

Sole traders get a €24,500 allowance on trade income. Norman tracks it as you go and prepares the trade tax return.

Receipts without the shoebox

Supplies, rent, electricity: a photo is enough. Norman reads the receipt and books it.

FAQ

Do I need an electronic till in a salon?

Germany has no obligation to use a register. You may run an open cash drawer, but then you need daily cash records including a counting protocol. If you do use an electronic till, it needs a certified technical security device and must be reported to the tax office.

What VAT rate applies to salon services?

The standard rate of 19%. That covers services as well as retail sales of care products in the salon. No reduced rate applies here.

Do hairdressers pay trade tax?

A salon is a trade business, but sole traders and partnerships get an allowance of €24,500 of trade income. Trade tax is only due above that. A GmbH does not get this allowance.

Is chair rental risky for tax?

The risk is not chair rental itself but an arrangement that is in substance employment. If you set working hours, prices, or client allocation, the pension insurance authority can reclassify the renters as employees. Social insurance contributions then fall due retroactively, potentially for years.

How are tips treated in a salon?

Tips given voluntarily by clients to employees are tax-free for those employees (§ 3 No. 51 EStG). Tips that go to you as the owner are business income and taxable.

What happens in a cash inspection?

It can happen unannounced during opening hours. Inspectors typically ask for the till data, the process documentation, and the receipts. If records are not in order, the tax office may estimate takings, and estimates rarely favour the business.
