To check a submitted JPK file, find its reference number, look up the processing result in the sending application or Klient JPK_WEB, and download the UPO. Having an XML file, signing it or seeing a submission start message does not complete that check. You need confirmation linked to the correct business, reporting period and report version.
This guide covers JPK_V7 submission checks for businesses operating in Poland. Whether you run a sole proprietorship, known as a JDG, or a limited liability company, a spółka z o.o., identify the VAT report and its particular submission first. Signing methods and permissions can differ. In either case, keep the submitted document together with evidence of acceptance.
What does JPK UPO mean?
UPO stands for Urzędowe Poświadczenie Odbioru, an official acknowledgment of receipt. For JPK_VAT, Poland’s Ministry of Finance identifies status 200 as successful processing with a UPO generated. The reference number locates the submission; it is not the receipt itself. See the Ministry’s JPK_VAT questions and answers.
Also identify the type of report. JPK_VAT with a declaration combines VAT records and the VAT return, using the JPK_V7M or JPK_V7K variant. A folder simply labelled “JPK” does not establish which reporting obligation a receipt belongs to.
Treat the UPO as part of the period’s document set. Save it alongside the file actually submitted, rather than only a working draft. If someone later asks whether the report was filed, you can produce a specific set of documents instead of reconstructing a sequence of clicks.
Where can you check JPK using the reference number?
Start with the application that sent the file. Open the correct period’s report history and find the submission identifier. If an accounting firm handled filing, request the reference number and UPO. Do not substitute an invoice number, KSeF number or the business’s NIP tax identifier.
The official Klient JPK_WEB status page provides a Numer referencyjny field for the reference number. Paste it there and run the check. You are looking up an existing submission, so this step does not require another XML upload. The Ministry’s Klient JPK_WEB manual also describes downloading the resulting UPO as PDF or XML.
When copying the identifier from an email, check for spaces or adjacent text accidentally included in the selection. If the conversation contains two identifiers, ask the sender which file each belongs to. The most recent message might concern another company or reporting month.
How do preparation, submission and acceptance differ?
Use this table as a document workflow checklist. Individual applications may use different labels. Read the complete message associated with your report and establish what evidence supports it.
| What you have | What it establishes | What to check next |
|---|---|---|
| A downloaded XML file | A file has been prepared | The actual submission history |
| A signed file | The signing stage took place | Transfer and processing results |
| A reference number | You can look up that submission | Final status and UPO |
| A UPO linked to the report | You have confirmation for that file | VAT payment separately |
| A bank transfer confirmation | You have a record of a banking operation | Proof that JPK was filed |
Do not judge completion from the colour of a button alone. Ask whoever handles the report: “Where is the UPO for this version?” The answer should lead to a document, rather than only reassurance that the application displayed no error.
What should you do when the UPO is missing?
Separate a missing email from pending processing and from rejection. An empty inbox does not tell you the submission result. Open the history and check using the saved reference number.
The Ministry describes status 120 as data saved with verification still in progress. It is not status 200. Code 407 identifies a duplicate and supplies the original submission’s reference number. These meanings come from the official JPK message explanations.
Record the complete message, when you checked it, the reporting period and the reference number. For a rejection, establish the cause before another attempt. For an unclear outcome, contact the sender or software support. A screenshot of an empty inbox alone will not explain what happened to the file.
Describe the last step you completed: preparing the file, signing it, starting submission or downloading confirmation. Say whether the problem concerns one submission or several reports. This helps direct the issue to the right person without sending another document to the tax authority as a test.
Do not mark a report as a correction simply to get past an error. First establish whether a document was accepted and which version it was. If a deadline is approaching, mention it when asking for help and check current Ministry service notices. Do not assume that a delayed system response automatically extends your obligation.
Why does e-Deklaracje say the document is missing?
Check which service you opened. The e-Deklaracje status service and Klient JPK_WEB are not interchangeable. The Ministry describes a status 300 case caused by looking for JPK in a form intended for e-Deklaracje. Return to the JPK service and use the reference for that submission.
This matters when one person handles several types of tax returns. A browser bookmark saved during an earlier filing may lead to another service. A lookup in the wrong place is not sufficient evidence that the JPK failed to arrive.
How does checking the UPO work in Norman?
According to the current JPK_V7 approval instructions, Norman prepares the report, while the user reviews it, approves it and authorizes filing. Once the Ministry accepts the file, the UPO can be downloaded. Consult those instructions for the applicable plan and signing requirements.
If the outcome needs checking, the JPK_V7 help guide directs you to check the submission status. Contact support if there is no reference number. Do not start another submission solely because the previous screen closed or the result did not appear immediately.
This distinction also matters when evaluating AI bookkeeping. Automatic preparation can reduce the work involved in assembling a report. The workflow should still make clear what the user reviewed and what evidence confirms each subsequent step.
Example: one reporting month, two different confirmations
Consider a fictional JDG that reports VAT monthly. Its owner finds an XML file for October and a transfer described as VAT, but cannot find the UPO. The owner keeps the filing check open and asks the person who sent the report for its reference number and submission history.
If the submission was accepted, the owner downloads the UPO and saves the document set. If it was never sent, they agree the next action with the person handling the reporting. If the outcome remains unclear, they collect the details needed to investigate instead of creating a second submission as an experiment.
Whatever the result, they separately compare the bank transfer with the relevant liability. A UPO is not proof that VAT was paid, and a payment record does not replace the UPO. Norman’s tax and ZUS payment instructions explain the payment details and the action the user takes in their bank.
What should you keep for yourself or your accountant?
Create a simple period record: business, month or quarter, report type, version, reference number and the location of the XML and UPO. Add the person responsible for resolving open questions. This is a suggested working practice, not an additional official form.
Use a consistent file naming pattern, such as period, document type and version. If a correction is made, keep a clear link to its own confirmation. Avoid accidentally overwriting the earlier set with a generic file called “report.xml”.
Finally, check that another responsible person can locate the evidence without searching your personal email inbox. Make missing UPOs a separate review item. Then “JPK completed” has a concrete meaning: the team knows which document was accepted and where its confirmation is stored.
Frequently asked questions
- Is a JPK reference number proof of filing?
- The reference number lets you look up the submission result. It does not replace the UPO. Check the final processing status and download confirmation for the correct file.
- Should I send JPK again if I cannot find the UPO?
- Not automatically. Check the existing submission first. Processing may still be pending, or the UPO may already be available in the application. If the file was rejected or the outcome is unclear, establish the cause with the sender or software support.
- Why does the e-Deklaracje form not find my JPK?
- Use a service intended for JPK, such as Klient JPK_WEB. The e-Deklaracje status form serves a different submission channel. A missing-document message in the wrong service does not establish what happened to your JPK.
